PRIMARY FUNCTION: Supervises and coordinates the activities of the shipping department to ensure customer shipments are correct, timely, and cost effective. Instructs and trains shipping department employees. Completes all administrative and organizational paperwork of the department.
JOB DESCRIPTION: Plans, organizes, directs, and controls the work of the department per guidelines and schedules set by the Production Control Manager. Reviews and checks shipping orders and pick lists for current day’s operations. Consults with production control to determine which products are ready and available for shipment. Provides proper training to employees. Operates forklifts and cranes to facilitate work for the department as required. Negotiates with and chooses shipping carriers to obtain the most efficient rates and to ensure timely delivery according to guidelines or customer requirements. Ensures timely delivery of incoming goods and materials and oversees proper handling of paperwork associated with received goods and verification of invoices. Ensures all paperwork is completed for materials to be shipped from the facility checking for accuracy including bill of lading, pick list, etc. Ensures maintenance of records, files, and logs regarding materials being shipped. Approves all purchase orders for the department according to established company policies and guidelines. Oversees the training of employees in safety, quality, and production processes. Provides communication with department through meetings, or in written form as required. Procures needed tools and other supplies for the department following established guidelines. Assists subordinates by answering questions, solving problems, training, coaching, and reviewing job performance. Assists with interviews of prospective employees and participates in the hiring process for the department. Serves disciplinary actions required and participates in termination when necessary following established company policies in conjunction with Human Resources. Reviews and approves employees' requests for vacation and personal time. Participates in daily production meetings and other plant meetings as required. Participates in and ensures compliance with all applicable rules, company policies, and procedures. Maintains good housekeeping standards in assigned areas. Performs all duties following established safety procedures and guidelines using assigned safety equipment. Performs other duties as required. EDUCATION/EXPERIENCE: High school diploma or GED with 3-5 years of experience in manufacturing and supervision would provide the skills necessary to perform the job successfully. Six to nine months in the job are required to become proficient in most phases of the job.
JOB KNOWLEDGE: Must be familiar with company products, policies, procedures, and terminology. Requires good math skills. Must have computer skills and knowledge of specific systems, codes, and software applications. Requires the ability to maintain specified files, records, and logs. Good communication skills, both written and verbal, are required. Requires the ability to plan, supervise, and coordinate all activities and functions of the assigned department. Requires skill in the use of basic office equipment including computer, fax machine, and calculator. Must have management and administrative skills and be able to interpret data, make good corrective Shipping Supervisor decisions, and follow through.
COMPLEXITY OF DUTIES: Follows company guidelines, goals, and objectives for shipping procedures. Must plan, coordinate, and direct all operations within the shipping area. Judgment, problem-solving, initiative, analytical, and evaluation skills are required.
SUPERVISION RECEIVED: Works under the direction of the Production Control Manager. Operates within company guidelines where goals and objectives are established with latitude for independent thinking allowed.
RESPONSIBILITY FOR ACCURACY: Systems are in place that would detect most errors. Inaccurate data on which decisions are made would result in errors which could range from minor to major in scope. Most procedures and functions are interrelated which would enhance the accuracy of work and diminish the likelihood of error. Customer satisfaction and company revenues could be impacted if shipping errors were not detected.
CONTACT WITH OTHERS: Interacts frequently with coworkers, production, and other members of management within the company. Outside contacts are with suppliers, customers, transportation companies, and drivers. The exchange of information and technical discussions requires tact, courtesy, and professionalism.
CONFIDENTIAL DATA: Has limited access to personnel information. Has access to company shipping volumes and costs which could be detrimental if disclosed.
MENTAL/VISUAL/PHYSICAL EFFORT: Close concentration on detail and mental activity are required while planning, evaluating situations, preparing reports, and coordinating operations. Manual dexterity and visual acuity are required. Job duties require walking, bending, reaching, kneeling, sitting, stooping, and good eye/hand/foot coordination.
ENVIRONMENT: The job is performed in office, plant, and outside environments with exposure to heat, cold, noise, and dust normally associated with factory work. Eye, ear, and foot protection is required in the plant. Shipping Supervisor
EXTENT OF SUPERVISION: Has operational responsibility for activities and efficiency of the department. Maintains an effective organization through motivation, coaching, training, hiring, evaluation, and discipline of employees.
SCOPE OF SUPERVISION: Directly supervises 10-15 employees assigned to the shipping department.
