We’re expanding fast — and we need a Medical Office Assistant who can keep pace, stay organized, and provide exceptional patient support in a dynamic environment.

Position Summary

The Medical Office Assistant plays a vital role in ensuring smooth day-to-day operations of our busy clinical practice. This position requires a detail-oriented, compassionate multitasker who thrives in a high-volume setting and can balance professionalism with empathy.

You’ll be the first and last person patients interact with — setting the tone for their experience and helping deliver seamless, patient-centered care.

Key Responsibilities

  • Greet and check in patients with warmth and professionalism.

  • Manage scheduling, appointment confirmations, and follow-ups for multiple providers.

  • Answer phones, route messages, and respond promptly to patient inquiries.

  • Ensure all intake, consent, and lab forms are completed prior to visits.

  • Support providers with patient flow, chart preparation, and documentation in the EMR.

  • Coordinate referrals, lab orders, and outside records.

  • Assist with medication refill requests and prior authorizations as needed.

  • Maintain inventory and cleanliness of front office and clinical spaces.

  • Protect patient confidentiality and uphold HIPAA standards at all times.

Qualifications

  • Required: 2+ years of experience in a busy medical office or wellness clinic.

  • Preferred: Experience in psychiatry, functional medicine, or integrative health settings.

  • Strong understanding of medical terminology and insurance processes.

  • Proficiency with EMR systems.

  • Exceptional communication and multitasking skills.

  • Friendly, professional, and proactive with patients and team members.

  • Ability to stay composed under pressure and prioritize competing demands.
