We’re expanding fast — and we need a Business Operations Manager who can keep pace, stay organized, and provide exceptional practice support in a dynamic environment.

Position Summary

We are looking for a Business Operations Manager who can take ownership of the day-to-day operations and help us grow strategically. This is not a sit-back-and-manage role. This is a hands-on leadership position for someone who can build systems, hold a team accountable, and keep the business running efficiently while we scale. Key Responsibilities

Operations & Workflow

  • Oversee daily clinic operations (front desk, MAs, scheduling, patient flow)
  • Optimize workflows in EMR and ensure consistency across staff
  • Identify inefficiencies and implement solutions that actually stick

Team Leadership

  • Manage and support front office and clinical support staff
  • Hold team accountable to performance standards and expectations
  • Lead by example—professional, responsive, and solution-focused

Growth & Strategy

  • Help implement expansion into primary care and DPC model
  • Support employer partnerships and corporate wellness initiatives
  • Track KPIs (visits, revenue, collections, patient retention)
  • Execute a strategic marketing plan for community and employer initiatives 

Patient Experience

  • Ensure high-quality, consistent patient experience from first call to follow-up
  • Troubleshoot issues quickly and professionally
  • Maintain the standard of care that sets us apart

Financial & Administrative Oversight

  • Monitor billing workflows, collections, and operational costs
  • Work alongside leadership and CPA to ensure financial efficiency
  • Oversee vendor relationships (labs, supplements, services)

Qualifications

Required: 3+ years of experience in a busy medical setting. 

  • Experience in medical practice operations (required)
  • Strong leadership and team management skills
  • Experience with EMR systems
  • Understanding of billing, collections, and clinic workflows
  • Ability to manage multiple moving parts without dropping the ball
  • Growth mindset—this practice is expanding, and we need someone who can grow with it

Schedule & Compensation
