We’re expanding fast — and we need a Medical Office Assistant who can keep pace, stay organized, and provide exceptional patient support in a dynamic environment.
Position Summary
The Medical Office Assistant plays a vital role in ensuring smooth day-to-day operations of our busy clinical practice. This position requires a detail-oriented, compassionate multitasker who thrives in a high-volume setting and can balance professionalism with empathy.
You’ll be the first and last person patients interact with — setting the tone for their experience and helping deliver seamless, patient-centered care.
Key Responsibilities
Greet and check in patients with warmth and professionalism.
Manage scheduling, appointment confirmations, and follow-ups for multiple providers.
Answer phones, route messages, and respond promptly to patient inquiries.
Ensure all intake, consent, and lab forms are completed prior to visits.
Support providers with patient flow, chart preparation, and documentation in the EMR.
Coordinate referrals, lab orders, and outside records.
Assist with medication refill requests and prior authorizations as needed.
Maintain inventory and cleanliness of front office and clinical spaces.
Protect patient confidentiality and uphold HIPAA standards at all times.
Qualifications
Required: 2+ years of experience in a busy medical office or wellness clinic.
Preferred: Experience in psychiatry, functional medicine, or integrative health settings.
Strong understanding of medical terminology and insurance processes.
Proficiency with EMR systems.
Exceptional communication and multitasking skills.
Friendly, professional, and proactive with patients and team members.
Ability to stay composed under pressure and prioritize competing demands.
