The Maintenance Administrative Assistant position is a full-time administrative role that supports the Maintenance Department by managing maintenance work orders, coordinating inspection-related repairs, maintaining records, and providing customer service to residents and staff. The position serves as a key liaison between property management, maintenance personnel, inspectors, residents, and vendors.

Key Responsibilities

  • Enter, assign, track, update, and process maintenance work orders.
  • Coordinate and monitor work orders generated from resident requests, inspections, preventive maintenance, and property management activities.
  • Track inspection deficiencies and ensure timely correction through proper work-order management.
  • Prepare reports, maintain records, and support maintenance supervisors with administrative functions.
  • Answer calls, respond to maintenance inquiries, and communicate with residents, vendors, and staff.
  • Assist with purchase orders, invoices, scheduling, filing, and other clerical duties.
  • Support maintenance projects, unit turns, and special departmental initiatives.

Qualifications

  • High school diploma or GED required.
  • Minimum two years of administrative, clerical, customer service, property management, maintenance administration, or related experience.
  • Experience with work-order systems, property management software, public housing, affordable housing, or facilities management preferred.
  • Strong organizational, data-entry, communication, and customer service skills.
  • Proficiency in Microsoft Office and computerized database systems.

Preferred Skills

  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and record keeping accuracy.
  • Ability to work independently and collaboratively.
  • Knowledge of maintenance operations, inspections, and housing compliance processes is a plus.

Additional Requirements

  • Valid driver's license with a good driving record.
  • Ability to pass a criminal background check and drug screening.
  • Occasional overnight travel for training may be required.
