THE OPPORTUNITY
We are seeking an exceptionally organized and proactive Legal Executive Assistant to provide dedicated support to a partner whose practice focuses on estate planning, tax law, and complex corporate structuring. This is a high-trust, high-visibility role that requires sound professional judgment, the ability to manage competing priorities with composure, and a genuine commitment to client service.
The right candidate will function as a true right hand to the partner — anticipating needs, managing workflow, and ensuring that nothing falls through the cracks.

WHAT YOU WILL DO
- Manage the partner's calendar, scheduling, and travel arrangements with precision and foresight, proactively identifying and resolving conflicts
- Serve as the primary point of contact for clients, ensuring timely, professional, and warm communication at every touchpoint
- Prepare, proofread, and format legal documents, correspondence, engagement letters, and estate planning instruments
- Coordinate with clients, co-counsel, CPAs, financial advisors, and court personnel on behalf of the partner
- Manage and track deadlines, filings, and follow-up items across active matters using the firm's practice management system
- Prepare meeting materials, agenda packets, and closing binders for client meetings and transactions
- Process expense reports, check requests, and billing entries in coordination with the firm's accounting team
- Handle sensitive and confidential information with absolute discretion
- Support light research and document organization on estate plans, corporate structures, and real estate matters
- Assist with drafting and sending client communications, reminders, and firm correspondence

WHAT WE ARE LOOKING FOR
Required:
- 3+ years of experience as a legal assistant, executive assistant, or senior administrative professional — law firm experience strongly preferred
- Exceptional written and verbal communication skills; polished and professional in all client interactions
- Superior organizational skills and attention to detail
- High proficiency with Microsoft 365 (Word, Outlook, Excel)
- Ability to manage multiple deadlines simultaneously and adapt quickly to shifting priorities
- Discretion and integrity in handling confidential client matters
- A proactive, solutions-oriented mindset
Preferred:
- Familiarity with estate planning documents (wills, trusts, powers of attorney, healthcare directives)
- Experience with legal practice management software (CARET Legal, Clio, or similar)
- Knowledge of corporate entity documentation and real estate closing processes
- Associate's or Bachelor's degree, or paralegal certificate
- Notary public commission, or willingness to obtain one
