Position Summary:

The primary role of the Administrative Assistant to the Pastor is to provide direct support to the Pastor and to the ministries s/he leads. This position involves preparing reports and materials for meetings, managing correspondence, coordinating details for funerals, weddings and other church events, answering the phone, managing all membership records and church database, calendar coordination, coordinating front office volunteers, and more. The Administrative Assistant to the Pastor serves in a receptionist function and is the face and voice of the church to church members and the public.

Organizational Relationships:  This position reports to the Church Administrator.  Peers include other members of the Support Team, including other administrative and custodial staff. The Administrative Assistant is a regular member of the church staff and is in regular communication with the ministry team also.

The Administrative Assistant to the Pastor may not be a member of First Baptist Church.

Primary Responsibilities:

Greet and assist in-person visitors to the church office as well as on the phone.

Prepare agendas, minutes, reports and materials for church conferences, Deacon meetings and committee meetings, sending reminders for such meetings. Some meetings may also require the coordination of refreshments or meals.

Support the Pastor in coordination of his/her calendar.

Enlist and coordinate office volunteers.

Partner with the Pastor and Minister of Worship to perform tasks in support of weddings, funerals and other church events.

Manage membership records.

Manage church app, ensuring accuracy of data and assisting new members so they can access the church directory, church calendar and online giving functions.

Manage all correspondence related to memorial gifts, birthday cards, worship guest follow up, stewardship campaigns, births, weddings and deaths.

Support the Pastor in his/her study and preparation, such as scanning and filing resource materials.

Keep physical and digital files and documents organized, up to date and accessible to those who need them.

Facilitate the annual Deacon nomination and election process.

Coordinate Baptism preparation.

Support Deacon-Led Ministry Teams, such as building new member packets.

Serve as vacation back-up for the Financial Assistant and other Administrative Staff.

Complete other job-related duties as assigned by the Pastor or Church Administrator.


Required Knowledge, Skills & Attributes: 

  • Proficiency with Microsoft Suite, database management and office equipment.
  • Highly self-motivated and driven with the ability to successfully work independently.  The Administrative Assistant must also work successfully and with professionalism with other members of the church support staff.
  • Strong written and verbal communications skills to interact with church members, ministers and staff, and guests.
  • Intermediate computer skills at minimum.
  • Very strong organizational skills.
  • Ability to work with professionalism and positivity in a fast-paced environment and to manage interruptions with patience and productivity.
  • Ability to build relationships with church members, ministers and staff, and outside vendors.
  • Ability to manage church information in strict confidentiality.

This is a full-time, onsite position Monday-Friday. The Administrative Assistant is a member of the church staff team and will attend regular staff meetings.
