ACCOUNTS PAYABLE MANAGER

Are you an experienced and detail-oriented professional with a passion for managing financial operations? If so, we have a great opportunity in the Office of Business and Finance. We are currently seeking a highly skilled and dedicated Accounts Payable Manager. This position will report directly to the Assistant Vice President for Financial Services and is part of the team responsible for all facets of the preparation, processing, and payment of expenditures for the college.

Job Responsibilities:

  • Responsible for the daily operations of accounts payable.
  • The position supervises two full-time staff positions along with student employees.
  • Excellent understanding of accounting as related to accounts payable and the general ledger, as journal entry preparation is required.

Duties include but are not limited to:

  • Review and approval of accounts payable payment requests, which include check, ACH, wire, and other forms of payment processing.
  • Processing annual 1099 reporting.
  • Reconciliation of AP-related general ledger accounts and employee credit card expenses.
  • Oversight of document imaging and retention for electronic files.
  • Excellent customer service skills with vendors as well as employees and students.
  • Preparation of accrued payables and other schedules as needed for the year-end external audit.
  • Protects all college and payable activity by keeping information confidential.
  • Supervise and provide guidance over the vendor set-up process, ensuring IRS regulations and internal policies are followed.
  • Assists with procurement of W-9 or W-8 series forms for vendors and service providers.
  • Keeps up to date with federal and state tax regulations as appropriate.
  • Assists employees and students with questions regarding expenditure activity.
  • Supports the College objectives by overseeing the accounts payable function to ensure invoices and expense reimbursements are processed timely, accurately, and in compliance with the College's policies and procedures.
  • Ensure appropriate internal controls are followed, including enforcement of separation of duties.
  • Other duties as assigned by the supervisor.


REQUIREMENTS:

  • Strong understanding of payment systems principles and practices.
  • Full-cycle accounts payable experience - strong knowledge of accounts payable processes, financial principles, and relevant regulations.
  • Bachelor's degree in accounting, finance, or related field.
  • At least five years of experience in a related function and at least two years of supervisory experience.
  • Management and organization skills are critical for success.
  • Strong verbal and written communication and ability to connect and build relationships across campus and with external partners.
  • Proficient in using ERP systems.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, Access, etc.).
  • Ability to work autonomously balancing multiple projects.
  • Ability to meet deadlines, prioritize, and multi-task in a fast-paced environment.
  • Highly organized along with strong attention to detail.

PREFERRED REQUIREMENTS: ·

  • Higher education accounts payable experience.
  • Jenzabar ERP system experience.
  • Chrome River expense management software experience.
  • Feith document imaging software experience.
