Position: Academic Records Administrative Assistant, Full-Time
Position Summary: The Academic Records Administrative Assistant is primarily responsible for customer service and processing forms of the Registrar’s Office and reports to the University Registrar.
Qualifications: Excellent organizational, analytical, and computer information system skills, demonstrated ability to work independently on multiple tasks with a high degree of accuracy, at a quick pace, excellent verbal and written communication skills, sound judgment in applying complex guidelines and regulations, and the ability to work effectively with all levels of the campus community. Experience in a University Registrar’s Office or similar educational administrative setting. Bachelor’s degree required.
Responsibilities include:

  • Assist with commencement preparation and ceremony activities
    • Other potential assignments from the Provost Office: Convocation and Awards Day
  • Process forms collected/used within the Registrar’s Office
    • Check documents turned in to ensure accuracy based on office and academic policies
  • Manage office phone, mail, email, and fax
  • Processing Transcript Requests (online and in-person)
  • Provide data to other areas as requested after consultation with the Registrar
  • Scan and index paper files into document imaging system
  • Coordinate inventory of needed materials within the office, for graduation, and other items as needed
  • Requisitions, POs, and Credit Card Reconciliation
  • Document Replacement Requests
  • Work with SOE for Endorsement Completion each Term
  • Process grade changes and withdrawals that come through the office (online and in person)
  • Keep Registrar lobby straightened up and organized with up-to-date material
  • Process transient and cross-registration forms
  • Serve as backup as needed with various duties to ensure smooth office operations
  • Other duties as assigned
