Mission: To provide personal administrative support
Personal and Administrative Assistant Job Responsibilities
Administrative
- Answer and manage incoming calls, open mail, run errands and transport when needed;
- Prepare and edit personal correspondence, communications, and other documents; take and transcribe dictation, as necessary;
- Manage and maintain appointments and any travel arrangements;
- Monitor all medical claims; match medical bills with EOB’s and submit claims; review medical supplement insurance every November;
- Monitor all home and personal liability insurance, submit claims, negotiate settlements;
- Monitor and oversee major repairs and maintenance of estate; submit payment;
- Grandchildren’s Trust – maintain records;
- Georgia Tech – order and distribute football season tickets.
- AWL, Sr. Foundation – annual request to Foundation Board of Director’s and follow up;
- Maintain and manage master mailing list; coordinate yearly Christmas card mail out;
- Christmas shopping for family and friends; gift wrapping; track spending and manage receipts;
- Special projects as assigned (i.e., event planning, party invitations, etc.).
Payables
- Receive and review mail from residence and office; verify accuracy of invoices and write checks for payment
- Prepare annual operating budget
- Property taxes – appeal and/or submit payment
- Perform hiring duties of new staff members by posting job descriptions, screening, interviewing, running background checks and onboarding new staff;
- Compute weekly timecards, write, and distribute checks (5 regular domestic staff;)
- Complete quarterly tax forms, prepare W-2’s, 1096’s and 1099’s; distribute to employees;
- Manage and mediate disputes;
- Verify accuracy of credit card statements and receipts used by household staff;
- Maintain personnel files and home resource schedules;
