Accounting Specialist and Office Manager

Mission:  To provide accurate accounts payable support to the company’s accounting department. And to also organize and maintain an efficient, well-functioning office environment and culture for employees of R.H. Ledbetter Properties, LLC.
Job Responsibilities
Accounting Responsibilities

  • Enter Accounts Payable invoices
  • Run Accounts Payable checks weekly or as needed
  • Facilitate mailing of accounts payable checks as soon as processed
  • Maintain vendor files & filing of invoices
  • Reconcile Bank Statements by the 10th of the month
  • Assist with processing 1099 forms and mail out (yearly) by January 31st
  • Assist with special projects or other accounting duties as needed
Office Manager Responsibilities
  • Be the IT liaison to report and follow-up on any technical problems within the office (including copiers, mail station, etc.)
  • Supervise the maintenance of the office and coordinate with any vendors such as cleaning service, HVAC maintenance; alarm service, fire extinguishers, etc.;
  • Monitor office costs and accept bids and negotiate contracts for outside services (telephone, internet, network, cellular, HVAC, etc.);
  • Reconcile & approve all office invoices
  • Coordinate office subscriptions (Dropbox, Adobe, etc.) for cost reductions
  • Sort & distribute all incoming mail/deliveries
  • Maintain all office and janitorial supplies
  • Manage break room (stock drinks, etc.)
  • Oversee any employee recognition or office events;
  • Control petty cash;
  • Manage office keys;
  • Greet visitors as necessary
  • Oversee & better utilize our online presence (Facebook, Instagram, website, etc.)
  • Order company letterhead stationery, envelopes and business cards as needed.
  • Set up offices for new employees--phone, supplies, equipment, and credit cards
